Revolution RE - Entrata Installation Guide

Overview

This document describes the 3 steps within the Entrata Property Management System and the data to the Revolution RE system.


Part I: Setup in Entrata

Step 1: Create a New User in Entrata

1. An individual with administrator credentials (“Admin User”) must log in to their Entrata account.

At the top of the page, the Admin User should click on Setup > User & Groups.

On the left side of the Admin User’s screen, the Admin User will see a (+) button. They should click on this button to open the add an Add User modal. 

Once the modal is open, the Admin User  should click the Add User button.

2. To complete the process of creating a new user (“New User”) in Entrata, the Admin User should input and save the following fields:
  • First Name: 
  • Last Name:
  • Username:
  • Password:

We recommend using [your-company-name]_api@revolutionre.com for the username and email and/or making sure the Email Reset Password Link is not selected. Ideally a @revolutionre.com email address is used in order to allow us to provide support if this should ever be needed or if a password expires and needs to be reset.

3. The interface requires a Department to be selected, this can be chosen by the Admin User. Once the necessary fields have been added by the Admin User, they should select the ‘Add User’ button at the bottom of the page. A New User has now been created.

NOTE: The Admin User will need to provide the New User username and password to whomever is setting up the account in Revolution RE.

Step 2: The Admin User Needs to Grant the New User Access to Properties

The Admin User will now assign a Property Group OR individual properties to the New User. To include new properties automatically going forward, the Admin User should select a property group that includes all active properties. Alternatively, the Admin User will need to manually add new properties to the New User’s account going forward.

1. Once the New User’s account has been created, the New User’s profile will appear on the Admin User’s screen. To add properties to the New User’s account the Admin User should select the Assignments tab from the New User’s profile page.

2. From the Assignments tab, the Admin User will see a list of options for providing the New User with optional assignments. The Admin User should go to the second section down labeled Assigned Properties and select the button in the center of the page labeled ‘Add Property Group’

3. A modal will open for the Admin User with a list of all available properties. The Admin User should select the properties or Property Groups that are intended for the New User to have access to and select the Save button at the bottom of the modal.

4. Once the Admin User hits Save, the properties the New User has access to should appear in the Assigned Properties block of the Assignments page.

Step 3: Grant the New User Access to the Entrata System APIs

Revolution RE uses the available APIs to pull data from the Entrata system. The final step the Admin User should take within the Entrata system is to enable the New User access to the Entrata APIs.

1. On the Assignments page, the fourth box on the page is for ‘assigned Web Services’’. The Admin User should select the button in the center of the page ‘+ Add Services’.

2. A modal will open with available Web Services for the Admin User to assign access rights to the New User. Next to Select Web Services is a box that, if selected, checks all of the boxes within the Web Services options. The Admin User should select this box and then the Save button at the bottom.

NOTE: if there is not a section entitled ‘Reports’, the Admin User should send a request to their Entrata representative to request that this section be turned on (Email Request).  Also, the Admin User should reference either Revolution RE (formerly JoyHub) if asked by Entrata for a company name. Entrata requires a company to sign an Agreement with them and may not respond with access to the Reports API if they do not find the Agreement on file.  This will cause delay and may limit your access to data in the meantime.


Configure Revolution RE System with Entrata

Step 1: Add the Entrata New User Credentials to Revolution RE

The final step for setup of Entrata properties in the Revolution RE system is to add the credentials that were created for the New User in Entrata into the Revolution RE system. Either the Admin User or other individual will need an account created in Revolution RE in order to do so.

1. Login to Revolution RE, an individual may request admin credentials by emailing support@revolutionre.com if you do not have an account created.

2. Once logged in, the individual should click on the Setup tab on the left.

3. Click on Manage Integrations

4. Click on the + button to Add Integration

5. Click on the Entrata logo image. The following modal will open, this is where you will input the information gathered in Step 1 above:

6. Click on the Test button. All tests should pass. If not, please email a screenshot to support@revolutionre.com.  If all tests pass, click on Save.

The Entrata property setup should now be complete. In 24 hours or so the property data flow should have begun and/or be nearly complete. Depending upon a variety of factors, this can take less than 24 hours or up to 3 days.

Please note the following:

  • In order for financials to appear you will have to provide an account tree for your financials or wait until one has been created for you.
  • If certain data is missing, it may be the Reports API is not turned on, or financials do not yet have an account tree or financials have not been mapped.
